century.
In our hectic times the theme Time Management has
become a real hit. At Amazon only you will already
find more than 600 books in the German language about
Time Management.
In
fact, we do not manage time, time goes by automatically,
whatever we do. In fact it is all about managing ourselves.
How do we prioritize our tasks? What can I delegate?
Which technical tools can I use?
Several
theoretical principles are designed to help us to
prioritize our tasks. One of the most famous principles
is the "Pareto-Principle," also known as the 80/20
Principle. The main purpose is to complete 80% of
the tasks that can be handled in 20% of the time.
And
then there is the "Eisenhower Principle," which divides
the tasks that are important and urgent and categorizes
the tasks that are important AND urgent as first priority.
After prioritizing the next important step is planning,
preferably in writing. A big help can be a standardized
appointment planning system with task list, calendar
and contacts.
Once
we used a diary for this purpose, but with the raise
of the Personal Computers came also the electronic
solutions (like MS Outlook, Lotus, etc), which are
nowadays even available at your mobile device or PDA
(personal digital assistant).
At this moment these systems are developing into online-systems,
where complete departments, teams and project groups
can share calendars which enables them to make individual
and group appointments straight away.
In future these systems can be prepared to make online
reservations by clients or principals as well. But,
the main point for all principles and systems is always
the discipline one needs to plan his time consequently,
to delegate tasks that are not important nor urgent
and to use modern techniques as useful tools. This
will not only help to fulfill all your tasks in the
set time, but, even more important, this will create
more space for essential or new tasks.
Especially entrepreneurs in small and middle sized
businesses that are independent and often on the road
